Setup & Access Requirements

Everything you need to know to help your event go up smoothly — from access paths to site conditions.

One of the most important parts of a successful tented event is ensuring the site is suitable for setup. At Delightfully Lavish, we’ve installed tents in gardens, courtyards, parks, fields, woodlands, beaches, and rooftops — and with a bit of planning, we can make almost anything work.

This page outlines the key setup and access requirements for our marquees, stretch tents, yurts, and bell tents, so you know what to expect and how to prepare.

1. Access to the Site

To ensure a smooth delivery and installation process, we’ll need:

  • Clear vehicle access as close to the setup area as possible

  • A minimum width of 1 metre for all access paths or gates

  • Advance notice of any steps, slopes, soft ground, or restricted zones

  • Parking for the delivery vehicle during setup and takedown

If the site is remote, difficult to reach, or involves carrying equipment over a distance, we’ll assess feasibility in advance and may adjust staffing or timings accordingly.

2. Space Requirements for Tents

Each tent or marquee needs a certain amount of clear level space, both for the structure and for guy ropes or anchoring systems. Here's a general guide:

Indian Marquees (e.g. The Maharaja, The Emperor)

  • Require 1 metre clearance on all sides for ropes

  • Must be set up on grass or soft ground to allow pegging

  • Flat, level surface preferred for safe installation

Stretch Tents

  • Very flexible and can be pitched at different heights

  • Work well on grass, gravel, or hardstanding

  • Can be installed around trees or in more irregular spaces

  • May require weighted ballast if pegging isn’t possible

Yurts and Bell Tents

  • Require a flat area of grass or soft ground

  • Typically set up in clusters with 1–2 metres between tents

  • Ideal for glamping villages, chillout zones, or overnight stays

3. Weather & Ground Conditions

We install in all conditions — but very wet, muddy, or unstable ground can pose challenges. In the days leading up to your event, we’ll check the forecast and may make adjustments, such as:

  • Using different pegs or ballast systems

  • Changing the setup schedule to avoid storms

  • Offering flooring, matting, or side walls for added protection

We’ll work with you and your venue to make the best plan based on conditions.

4. Power & Facilities

While most of our tents don’t require power themselves, you may need it for:

  • Lighting, music, catering, or entertainment

  • Heaters, fire bowls (outdoor use only), or extra lighting at night

  • Charging points or service tents

If your venue has limited power, we can advise on generator options or low-energy solutions. We can also help plan tent placement around toilets, bars, and other amenities.

5. Timing & Takedown

We’ll confirm your setup and takedown schedule in advance. Most tents take 2–6 hours to install depending on size and complexity. Larger events may require additional time for styling and finishing touches.

We always aim to be respectful of your venue’s policies and leave the site exactly as we found it.
